TOC | Books Workflow

Let’s make a book! This TOC includes the full process of bringing a print book (and usually, an eBook or OA format) from final manuscript through to publication. Please note that hosted books may not require all of these services. All of these tasks are completed by the Digital Publishing Coordinator (DPC) unless otherwise noted. Click the links for specific instructions on how to complete each step.

Pre-Production

  1. Project Transmittal/Launch meeting w/ the Acquisitions Editor(s)

    3. Maize/MPS (no imprint books) Launch Form

  2. Create an Asana task for the project by duplicating one of the following template cards

    1. Amherst College Press Asana template

    2. Lever Press Asana template

  3. Assign an ISBN to the print and/or ebook (if not already supplied) via the following spreadsheets

    1. Amherst College Press ISBN Assignment sheet

    2. Lever Press ISBN Assignment sheet

    3. MPS (incl. Maize) ISBN Assignment spreadsheet

  4. Review the transmittal and manuscript submission for completeness

  5. Create the copyright page from the following templates. Save it in the project folder with the manuscript files.

  6. Send the manuscript files to the vendor and request a bid (quote and schedule)

  7. Send the Cover Design Brief to the cover designer*

  8. Create the TMM record

  9. Request the LoC PCN

  10. Create a Jira ticket for Fulcrum resources (if needed)

  11. Receive the quote and schedule from the vendor. Save them to the project folder under “Newgen Bid.”

  12. Send the vendor quote and schedule to the editor for approval

  13. Vendor quote and schedule approved

  14. Enter all schedule dates for the Asana subtasks

  15. Send the schedule to the author(s)

Production

Design Sample

  1. Receive the design sample from Newgen. Save to the project folder under “Design Sample” and review.

    1. For Lever titles, make sure the layout follows the Lever Press Typesetting Notes

  2. Send the design sample to the editor for approval

  3. Design sample approved

Front Cover

  1. Receive the front cover ideas from cover designer. Save to the project folder under “Cover.”

  2. Send the front cover ideas to the editor*

  3. Send front cover feedback to cover designer (repeat steps 1 & 2 as needed)*

  4. Front cover approved by editor*

  5. Send front cover to author(s). Only text corrections allowed.*

  6. Front cover approved. Save to the project folder.*

  7. Upload the final cover file for TMM ingestion

  8. Create the Fulcrum monograph page

    1. E-mail the author(s), editor, and marketing team the link

    2. For Lever titles, this step is done during post-production tasks

  9. Register DOI using Crossref web form

Copyediting

  1. Receive the copyedited files from the vendor. Save them to the project folder under “Copyediting” and review:

    1. Make sure all queries for the author make sense and start with “AQ:”

    2. Determine if any queries should be answered by you or the editor

  2. Send the copyedit to the author(s)

  3. Receive the copyedit feedback from the author(s). Save the files to the project folder and review:

    1. Make sure all queries have been answered clearly

  4. Send the copyedit feedback to the vendor

Typesetting

  1. Receive the typeset PDF from the vendor. Save it to the project folder under “Typesetting” and review:

    1. Check copyright page to make sure all info is correct

    2. Check TOC to make sure all content is present and in the correct order

    3. Scan through the book to make sure the layout and organization match the Design Sample

  2. Send the typeset PDF to the author(s)

  3. Receive the typeset PDF feedback from the author(s). Save the file to the project folder and review:

    1. All changes should be provided in the PDF markup (not via e-mail, Word doc, etc.)

    2. Ensure all changes are clearly marked and make sense

  4. Send the typeset PDF feedback to the vendor

  5. Receive the final typeset PDF from the vendor. Save it to the project folder and review:

    1. Check that all of the author’s previous changes were made correctly

  6. Send the final typeset PDF to the author(s)*

    1. This pass is ONLY to check previous changes--not to introduce new changes

  7. Final typeset PDF approved (may have minimal corrections to send to the vendor)

  8. Final interior files delivered from vendor. Save to project folder under “Final Files”

    1. Should include the print PDF and all application files (InDesign, linked images, etc.)

Full Cover Spread

  1. Send the case design template, barcode, and back cover copy to cover designer

  2. Receive the full cover spread from designer. Save to the project folder under “Final Files” and review:

    1. Check that the text is all correct and no formatting has dropped out

    2. Check that the ISBN is correct

    3. Check that the imprint logo is on the spine and back cover

  3. Send the full cover spread to the editor, marketing team, and author(s) for approval. Only egregious text corrections should be made at this point.

  4. Full cover spread approved

Print Proofs

  1. Upload the final interior PDF and full cover spread PDF to IBI and request print proofs

  2. Receive the print proofs and review:

    1. Make sure there is no cut off text on the cover or interior

    2. Make sure images are B/W or color as requested

  3. Confirm print proofs are approved with the editor

ePub + Fulcrum

  1. Receive the ePub from the vendor. Save it to the project folder under “Final Files” and review:

    1. Open in an epub reader such as iBooks or Calibre

    2. Make sure all content is present in the ebook

    3. Spot check links to ensure the TOC, notes, and external links are working correctly

  2. Upload the print interior PDF and ePub to the Fulcrum monograph page. Keep them in Draft mode until the pub date.

  3. QC the ePub on Fulcrum

  4. Update the Fulcrum page with the final back cover copy from the cover spread

  5. Update the JIRA ticket for Fulcrum work needed (if applicable). Assign the ticket to Tim Belch to begin work.

Post-Production

  1. Using the actual page count, double-check the IBI cost estimator and update TMM if the price has changed

  2. Update TMM w/ final specs (for every format)

  3. Confirm Eloquence verification and Send Metadata to Eloquence (for every format)

  4. Upload final files to BiblioVault and order PDF Processing and web-ready PDF

  5. Create MARC record request

  6. Via Jira (either the project’s existing record or a new one), ask Tim to “add the OA [ISBN] to Product [Press name] on Fulcrum so the book will appear in KBART”

  7. Create Google Play audiobook*

Publication

  1. For titles with print runs, release stock from CDC in CISPUB

  2. Mark the print version active in TMM day before the POD pub date

    1. Check the “Active” box next to the Pub Date and Warehouse Date tasks.

    2. Make the BISAC Status “Active” and the Product Availability “Available”

    3. Add the DOI to the “Open Access URL” field

On the pub date:

  1. Publish the OA version on Fulcrum (make the page and all materials public)

  2. Mark the OA version active in TMM

    1. Check the “Active” box next to the Pub Date task.

    2. Make the BISAC Status “Active” and the Product Availability “Available”

    3. Add the DOI to the “Open Access URL” field

  3. Add Title to Discount Code in CDC CartMan

  4. Add the book to the imprint’s homepage

  5. Notify the editor, marketing, and author(s) of book release

    1. For Lever titles, do this 1 week before pub date

  6. Add the book to the MPS Releases, 2020-Present spreadsheet

Post-Publication

  1. Close JIRA ticket (if applicable)

    1. Change status from “To Do” to “Done”

  2. Order comp copies for the author according to contract

    1. The editor completes this step for ACP titles

  3. Send 1 copy to the UM Library and 2 copies to the Library of Congress (LoC)

  4. Notify Jason that the project is ready for invoicing*

  5. Make sure final production files are on shared drive for archive

  6. Check availability on Amazon and MPS website in case there are problems

  7. One month after pub date, check aggregators to confirm title is included (see Asana subtask)

 

*These steps do not apply to DPCs for Lever Press titles
